Seeking an experienced administrative assistant to join our expanding team. This is a permanent opportunity, with a 90 day probationary period. The starting wage will depend upon experience with a range of $15.00 to $18.00 per hour and will be reviewed annually.
CANDIDATE QUALIFICATIONS:
Candidate must be:
highly proficient in Outlook, Word, Excel and PowerPoint.
experienced with database management (Salesforce experience is a plus).
familiar with MAC computer systems
well spoken, with excellent verbal, written and communication skills
able to answer the phone with proper phone etiquette and a pleasant phone voice
efficient at performing general office duties with general office equipment
able to think on their feet and in a fast paced environment
a multi-tasker, taking care of multiple demands and prioritizing simultaneously
organized with an attention to detail
discrete and able to maintain strict confidentiality
conscientious, responsive and highly self-motivated
personable, friendly and honest
familiar with planning activities and travel itineraries
JOB RESPONSABILITIES INCLUDE:
Answering and directing moderate phone call traffic while maintaining judgment and strength as a gatekeeper. Must have knowledge of performing basic call functions including transferring calls and arranging conference calls
Processing incoming and outgoing mail, including handling of correspondence which may be of a time sensitive and confidential nature
Preparing shipments via USPS, UPS, FedEx and arranging currier pick-up?s
Accurately research, maintain and in-put data into various files and programs
Provide administrative support to multiple departments
Maintaining office, storage and kitchen organized; supplies inventory by frequently checking stock to determine inventory level; anticipating needed office supplies and snacks; expediting orders for supplies and snacks, as needed; verifying receipt of supplies
Placing daily orders for food and weekly orders for juices for the entire office
Coordinating travel arrangements, including: flights, hotel and meeting spaces
Keeping track of company expenses while keeping a lookout for ways to save money and increase efficiencyCreating, updating and maintaining administrative procedures and account information
Assist with setting appointments / meetings and coordinating schedules and itineraries
Human resources tasks include but are not limited to: posting available office positions online, preparing and maintaining employee documentation files, and assisting with preparing health and dental related tasks for Human Resources to review.
